General information
The audit-proof email archiving system creates a copy of all incoming and outgoing emails including emails within the company. Archiving only takes place for emails that are received and sent from the time of activation.
The archiving takes place on servers within the onOffice GmbH and uses the software Benno MailArchive.
Requirements
The revision-safe email archiving can only take place if the email server is operated by onOffice GmbH and is then valid for all email inboxes of this domain – i.e. all email contacts where the part after the “@” is the same. If you have any questions regarding the move of your email inboxes to onOffice, please contact your sales contact.
Access to the archive
Access to the archive requires a separate, administrative user right(access to external email archive) that you should only assign to selected users.
With this right, the user can open and search the email archive from his mailbox. In doing so, he has access to all mailboxes to which he is assigned .
Via the email administration in the basic settings , a user with this right can view all mailboxes .
You can open the archived emails at any time using the Quicksearch. On the email tab, you will see “Access email archive” under “Detailed search” and “Detailed filter”.
Even if a mailbox is deleted in enterprise, the associated emails are retained in the email archive. If emails are still sent to the email address that is no longer active, they will no longer be stored in the archive.
Use of the mail archive
