Under the “Other” tab you can activate various functions that are advantageous for your individual working method

User editable in agents log:

After an entry has been made in the agents log or in the activities, the user ID of the individual users can be changed.

Assign address duplicates:

If several users enter the same address data, no duplicates are created.

Customer number cannot be edited:

The customer number cannot be changed.

Do not display warning message for new address data record if customer number has already been assigned:

If a customer number is assigned twice, a warning message is displayed.

Attach ics file to appointment confirmation:

When an appointment confirmation is sent, the ics file is attached and can be imported.

Send notes in ics file:

When an appointment confirmation is sent, the note (field from the appointment) is contained in the ics file if the option is active.

Set active resubmissions for automatic group assignments:

For example, you have created user groups that edit specific postal code areas? The members automatically receive group-specific resubmissions.

Text modules per group:

Text modules created in the group are only accessible to the group.

Editors can edit their own user data:

Your users can modify their data in the “Basic data” and “General” tabs.

Contact admin in case of wrong password entry:

A text can be stored here, which is displayed in case of multiple incorrect password entries. The text should contain the contact details of the administrator.

E-mails with duplicates:

Here you can enter e-mail addresses, which will be informed as soon as a duplicate is created.

Automatic e-mail assignment for incoming e-mails:

Here you can specify e-mail addresses for which no address record assignment is performed. Thus the e-mail will not appear there in the activities.

Save all outgoing emails to sent items:

If this option is enabled, all emails sent to the folder will be saved.

Activate e-mail link in the address data record:

If you have activated this function, the hyperlink to the external e-mail client, such as Outlook, is stored behind the e-mail label.

Number of days that the working time may be edited retroactively:

If you have the additional module for recording working time for your users, you can set here how many days the working time can be edited retroactively.

E-mail address for additional notification of appointment approvals:

Here you can enter an e-mail address, which will also be informed when an appointment is approved.

E-mail address for appointment approvals without office group leader:

Here you can specify an e-mail address to which the appointment approval is sent if there is no office group leader.

property supervisor is mandatory field:

If you check this box, the supervisor for an property must be entered.

Automatically assign contact persons to new properties:

If this option is checked, a contact person is automatically assigned to a property. However, only if the broker address record is linked under the corresponding user.

Create automatic agents log entries when the maintainer of an property / address is changed:

Here automatic agents log entries are created, if the responsible person of an property / an address is changed.

Create an automatic agents log entry when the price of a property is changed:

This is where automatic brokerage book entries are created when the price of a property changes.

Create an automatic agents log entry when the status of an property is changed:

Automatic agents log entries are created here if the status of an address record or a property is changed.

Display the contents of the SMS in the SMS distribution popup:

If this option is checked, the content of the SMS is displayed in the SMS distribution popup.

Extended user selector:

Set selection to auto-complete for fields in which an onOffice user is entered. If, for example, you select the supervisor of an address, you can enter the name and onOffice offers suitable suggestions. The name, first name, user abbreviation and, if available, the groupabbreviation are displayed.

Note the country in the regional supplements:

If a country is set for a property, you can only select regions of the set country in the regional supplement.

Regions in address completion by auto complete:

If search criteria are also queried in the address completion and the ‘regional addition‘ is active, the auto-completion for the ‘regional addition’ can be activated here. If the interested party has entered the first 2 letters, the system proposes suitable information from the list of stored regions.

Enter brochure generation in the agents log:

If this option is activated, the option “Do not create agents log entries” cannot be used for serial mailings.

Enter form letter creation in the agents log:

If this option is activated, it is no longer possible to use the “Do not create” option for activities / brokerage book entries for form letters.

Energy values for OpenImmo export in free text – other information:

In the event that a portal does not support the transmission of the energy consumption characteristic values, it can generally be determined here whether the energy consumption data are transmitted at the beginning of the free text field ‘Other data’. This setting applies to all portals that support the openImmo interface and also display the description texts for the real estate. The values are always transferred to ImmobilienScout24.

If you have an onOffice website, the energy pass data is displayed by default in the property description. If you do not want this, you can deactivate or reactivate the display here.

Force minimum price in search criteria:

If you want to set a minimum price, you can click this checkbox to set a minimum price for cold rent or purchase price in the search criteria. The prerequisite is that you have set the fields Cold rent and Purchase price as mandatory fields in the administration under the Search criteria tab.

Duplicate check across complete database:

This extends the duplicate check to addresses to which you do not have reading rights. You cannot see or change these additional addresses, you can only request access to the address. Details can be found at the duplicatecheck .

Display the note icon for edited agents log and activity entries for administrators:

If this option is checked, modified activities or agents log entries for administrators are marked with an icon.

Send e-mail to the property maintainer if an error occurs during a full adjustment or a mass partial adjustment for the property:

If this option is checked, the property maintainer is informed of errors during a full adjustment or a mass partial adjustment of his or her properties by e-mail.

Task type is mandatory:

Here you specify whether a task type must be set.

Property by default as base property:

This right is only displayed when the multi-object module is active. If this right is activated, all new properties are created as base properties.

Default type for automatically created tasks, if task type is a mandatory entry:

Here you can define a default type for newly created tasks.

Naming of downloaded files:

Here you can define how the name of the file is composed or whether the original file name is downloaded.

Make e-mail with attachments available for download:

If this setting is active, the option “Download e-mail” appears in every e-mail. Thus the text of the e-mail, as well as all attachments are made available as a ZIP file for download.

Show BCC recipient in e-mail print preview:

If this field is activated, the BCC recipient is displayed in the print preview of an e-mail. Otherwise it will be omitted
