GDPR

Fundamentals

In general, the new General Data Protection Regulation – GDPR for short – has been in force in the EU since 25.05.2018 and relates to the storage and processing of personal data. Information such as the office address of “legal entities” such as notaries and lawyers is not covered by the GDPR.

Notice:

Which data can/may/must be stored in which cases cannot be determined automatically by onOffice. The following details must be decided and set by yourself.

The GDPR status and the “Save by date” are used in onOffice enterprise edition to make it easier for you to organize the contact records for GDPR-compliant handling.

In onOffice enterprise edition, the new GDPR status, which has been included in all contact records, is primarily used to distinguish which contacts are affected and which are not.
Those not affected are assigned the GDPR status “Ignore”, those affected are divided into “Revoke storage”, “Consent to storage” and “No information”.

“Not specified” as a GDPR status is a special case; it includes all contact records that have not yet been processed.

At the same time, there are the new fields “Save to date” and “Save to reason”. The date and reason for storage is primarily specified here for contacts with the GDPR status “Not specified”. Primarily because temporary storage may be possible/necessary even for contacts with the GDPR status “Storage revoked”.

The storage of personal data always includes information about “what” is stored and the general information. For this purpose, onOffice enterprise edition offers the consent wizard.
