Reminder
If you would like to have yourself and participants reminded of your appointment, you can set this within a period of minutes up to three weeks. The type of reminder can be selected as “Email”, “Popup/Push Message” or “SMS”. Note that the Popup/Push Message option is only a notification for users in the appointment.
You can also set to whom the reminder should be sent, either to all participants of the appointment, only to all linked users or only to all linked addresses. With “Only confirmed participants” you can set whether only confirmed participants should receive a reminder.
In the user settings, you can define settings for appointment reminders in addition to the default settings for appointments, which are displayed here.
The mailbox from the default sender email address is set as the sender of the appointment reminder.
Email, SMS
If a subscriber/user without a valid mobile number is linked, the SMS as appointment reminder is not possible. If a user with a mobile number exists, all subscribers and all linked addresses are automatically notified. The mobile number of the first linked user is used as the sender.
Notice:
The template for the appointment reminder by email and the text used for the SMS reminder can be adjusted in the basic settings.
If you enter a video conference as the appointment location, the meeting URL is added to the appointment reminder SMS.
Popup/push.
If you select “Popup/Push Message” as type of reminder, a popup is created for all onOffice enterprise edition users, as well as a push message for all onOffice iOS App users at the predefined time, provided that “Reminder to” is not limited to addresses.
Reminder via Z-Push active
If you have activated sync via z-Push , an additional value “Reminder via Z-Push active” is displayed when setting an appointment reminder. This is checked and cannot be unchecked. No further setting of the type of reminder is necessary for your user.
If there are other addresses or users without an active sync via z-Push in the appointment, you will be prompted to select another reminder type when saving the appointment.
Repetition
Here you set whether the appointment should be repeated. There is a separate guide for serial appointments.
After the appointment, an automatic email can be sent, asking the interested party how they liked the property. As soon as he has filled out the email form, you will receive a response.
You can find details in the chapter Appointment follow-up.
Default settings for follow-up appointments can be configured, as well as the texts of the email and the website.
Private/Confidential
Here you mark your appointment as private. For private appointments, the corresponding time is entered as busy, but the content of the appointment is only visible to you.
Show on Web Page
If you have a website from onOffice, you can display possible viewing dates for your properties. In this way, interested parties can easily choose their preferred date and register for a tour. The data of interested parties are automatically transferred to your onOffice enterprise edition and linked to the appointment. The person in charge of the property will be informed by email about this immediate request.
This item only appears if you have entered “Viewing” as the appointment type and an property is linked.
